Sample Answer

Dear Sir/Madam,

I am writing to inform you about a planned mine-clearance operation in the vicinity of the central hospital in your area. The operation is scheduled to take place on 2026, starting at 08:00 and continuing throughout the day. Our engineering platoon will establish a secure perimeter around the designated zone to ensure the safety of both personnel and civilians during the procedure.

Regarding the evacuation of the hospital, we intend to coordinate with the hospital administration to transfer patients to nearby medical facilities prior to the commencement of the clearance. Medical staff will accompany the patients, and temporary shelters will be arranged for critical cases to guarantee uninterrupted care throughout the operation.

In order to carry out both the evacuation and mine-clearance effectively, we kindly request your assistance. Specifically, we would appreciate support in providing additional personnel for patient transfer, access to transport vehicles, and guidance on the local infrastructure. Furthermore, any intelligence on the locations of suspected mines would greatly facilitate the operation.

I trust we can count on your cooperation and look forward to your prompt reply.

Yours faithfully,
XYZ
